Board Meeting Minutes Summary

Monthly Board of Directors Meeting – October 22, 2009

The Hi-Sky Emmaus Community Board of Directors was called for its regular monthly meeting at 5:30 P.M. at Permian Basin Board of Realtors, 1001 W. Wall Street, Midland, Texas 79701, on Thursday, October 22, 2009. Martha Manulik, Assistant Community Lay Director, led the meeting.

New Business:

  • Date for November/December Community Meeting. After consideration on when to hold the next board meeting, and thus the combined community meeting, it was decided to conduct the board meeting on Monday, November 30, 2009, and the community meeting would be held the next evening, December 1, 2009.

  • Board Nominees and results. It was announced that balloting was still open until October 29 and that Sandra Fussell, Community Spiritual Director, had all the ballots.

  • Chrysalis Letter / Board Update. Wilma Stirl advised that the Chrysalis Steering Committee’s work was basically done, but not turning over to the board’s Chrysalis Committee. The Steering Committee would like to do the Chrysalis Lay Director training and team selection for both would be done in mid-January, 2010. Team training will also be done by the Chrysalis Steering Committee, with the ALDs to be trained separately as possible future Lay Directors, although the ALDs could sit in on the regular team training. Wilma Stirl advised the Chrysalis Handbook shows how to go from a Steering Committee to a Chrysalis Committee on the board with the chairman being an ex-officio board reporter.

  • Financial Report. Larry Carroll distributed his written financial reports and reported all bills were paid and there is a small balance remaining. He had received a $500 donation for the data base. No storage rental was paid because the Midland storage facility had been emptied and closed. Heidi Anderson moved that the financial report be approved as presented; Jack Harvey seconded the motion, and the motion passed unanimously.

Old Business:

  • Music Trailer / Speakers. Bill Thomas will get price estimates, and a love offering would be requested at the next community meeting, advising tax write-offs would be given for larger contributions for replacement of the community’s speaker amplifiers.

  • Database. Heidi Anderson reported the database would need to work around the Chrysalis situation temporarily; otherwise, it is ready to go, once community members go in and check their personal information.

Board Minutes:

The minutes from the most recent regular board meeting of September 17, 2009 having been previously emailed to all board members, motion was made and seconded that the minutes be approved as presented and the motion passed unanimously.

Community Lay Director:

Dusty Roach requested a push for October community meeting attendance. He further suggested that something be published in the monthly newsletter about Hi Sky Emmaus being a charity to which people might contribute in memory of loved ones. He reminded the board members of the cards filled out by each of us as to our goals for the community in 2009, and reported that all had been accomplished.

Walk Reports:

  • Men’s Walk #187 – September 17-20, 2009
    Jack Harvey presented his written post-walk report, but had little to report verbally. Dusty Roach, as board representative on the walk, said the walk was unique, unbelievable and spiritually led.

  • Women’s Walk #188 – November 12-15, 2009
    Martha Manulk reported the team had lost its agape leader and one table leader; but replacements came easy. She remarked that the team comes together the same way the pilgrims do. She advised that Sandra Fussell had urged at the very first meeting that all prayers be positive and prayed to the light.

Committee Reports:

  • Gatherings – Carolyn Arnold reported Debbie Baxter’s team members from WW #182 had served food for the last community meeting, and Iris Hall-Sanders’ groups would do the same for the November/December community meeting.

  • Trailer/Supplies – Jerry Knous and Patrick Mayers were organizing Carol’s Closet. The communion chalices and plates were missing from the trailer. Jerry will explain to the community about the trailer plan for future walk trailer loadings.

  • Administrative – Tim Harris suggested donations for new chalices, or that Lay Directors bring their chalices and crosses to the community meetings following their walks.

  • Team Selection – Iris Hall-Sanders advised that things were being done a bit differently now with the new data base in place. The committee had met on October 13, 2009 to select the team for Men’s Walk #189. Team Selection for Women’s Walk #190 will be held on November 19, 2009 at 6:00 P.M.

  • Training – Heidi Anderson reported that Lay Director training for the Spring 2010 walks would be done on Friday, November 6 and Saturday, November 7, with other 2010 Lay Directors welcome to attend. The new data base will be covered.

Dusty then asked about board representatives for the 2010 walks. All walks were covered in conversation in this meeting.

Closing Prayer. Larry Bailey offered a closing prayer.

There being no further business on the agenda and no further business raised, motion was made and seconded that the meeting be adjourned, and Martha Manulik adjourned the meeting at 7:10 P.M.
